Audiovisual Policies

Cost-conditions will be determined by whether you are using equipment and services for university or non-university purposes.

I.  No-cost Equipment and Services

AV equipment and services will be provided at no cost under the following conditions.

  1. For "UNIVERSITY PURPOSES," which are defined as scheduled classes and their examinations, any lectures and meetings that are directly related to the curriculum and the management of state-supported education/research programs, and academic/administrative support needs. (Requests for exemptions to this definition are subject to review by the Executive Director for Enrollment Services. Changes in the definition are reviewed for approval by the University Classroom Upgrade Committee.)
  2. In classrooms scheduled through the Center for the Advancement of Teaching & Learning (CATL).
  3. 7:00 a.m. - 5:00 p.m. Monday through Friday in non-distance education classrooms. (Support for weekend use must be requested 30 calendar days before the use date.)
  4. 7:00 a.m. - 5:00 p.m. Monday through Friday in distance education classrooms.
  5. Equipment and services require a 24-hour advance reservation.
  6. For trouble-shooting in immediate response to faculty calls for assistance.
  7. Placing calls for emergency service.
  8. For faculty training, as needed to prepare faculty to conduct a class without full-time AV support services.

II. Pay for Equipment and Services

AV equipment and services will be provided at a charge as follows.

  1. For NON-UNIVERSITY purposes, defined as non-state supported events; UMA and Medical Center-sponsored meetings, classes, and events; educational group/professional development meetings, workshops, and events that include non-MUSC persons and/or that require any attendees to pay fees to participate.
  2. There is a fee, per hour or fraction there-of for an audiovisual technician that is requested to remain in the room throughout a program.
  3. 7:00 a.m. - 5:00 p.m. Monday through Friday; when available, OT = 1.5 X hourly rate.
  4. 7:00 a.m. - 5:00 p.m. Monday through Friday in distance education locations on campus where DE technology is used for non-university purposes. When available, OT = 1.5 X hourly rate.   5. With a 24-hour advance pre-reservation request for general daily support. (5 working-day advance notice for distance education daily support.)
  6. For minor trouble-shooting in immediate response to client calls for assistance.
  7. Calling for specialized emergency service.
  8. Equipment and services are subject to availability and a 24-hour advance reservation.

III.  Equipment and Service Charges are Assessed under these Conditions:

  1. All requests are subject to prior availability.
  2. Requests for equipment and/or service must be received 24 hours in advance for general use or 3 days in advance for weekend use. All requests are subject to prior availability.
  3. Equipment and services are available 7:00 a.m. to 5:00 p.m. Monday through Friday. Overtime technical support is available at special rates, but is subject to the availability of support staff.
  4. Equipment checked out from the university equipment pool is available for rental and will be rented on a per-day basis.
  5. Full refunds are allowed if 1) written notice of cancellation of the use is received prior to 5:00 p.m. of the workday preceding the event or 2) if equipment failure is prohibited due to circumstances beyond the control of the user.
  6. Method of payments may be 1) by Inter-Institutional Transfer (IIT) for university users, or for all others 2) by check made out to MUSC. (Write AV Support Services on the memo line.)
  7. Audio visual support staff will be available to University and hospital requestors at no charge during regular hours to deliver, startup/test, and remove from university classrooms any audio visual equipment in the university's standard inventory. There is a per hour charge or fraction thereof if the audiovisual technician is requested to remain in the room throughout the program.

IV.  Equipment and Services Not Available Through AV Services

  1. There is no delivery, operation, repair or maintenance of equipment unless it is part of the university's central equipment pool or under special contract.
  2. No off-campus locations.
  3. No on-hand support on weekends.

V. Who can reserve AV equipment?

First priority is given to faculty for classroom instruction. Other persons employed by the university, engaged in the work of the university, are awarded second priority. All other persons receive third priority.

Student must be endorsed by a regularly employed faculty member or program advisor who is willing to assume full responsibility for that student's use of the audiovisual equipment.
